INTERNATIONAL MEDICAL SCHOOL FAIR
GUEST REGISTRATION & CONSENT AGREEMENT
- DEFINITIONS
For the purposes of this Agreement:
“IMSF” means International Medical School Fair which is a company that organizes and hosts
recruitment fairs and exhibitions for medical and healthcare education.
“Guest” refers to any individual who registers to attend an Event organized by IMSF, including
but not limited to high school students, undergraduate students, parents, guardians, school
counselors, educators, and individuals interested in medical or healthcare careers.
“Partner Schools” refers to medical and healthcare programs and institutions, both domestic
and international, that participate as exhibitors in IMSF’s Events. - FREE REGISTRATION
Guests may attend Events hosted by IMSF at no cost. Registration is required in advance
through IMSF’s official registration platform. - INFORMATION COLLECTION AND SHARING
3.1 Information Collected.
By registering for and attending a IMSF Event, the Guest voluntarily provides IMSF with
personal and academic information, which may include but is not limited to:
Full Name
Email Address
Phone Number
Expected Year of Graduation (e.g., high school or university)
Current Academic Institution (if applicable)
Area of Academic Interest (e.g., pre-med, health sciences)
MCAT Status or Score Range (if applicable)
Grade Point Average (GPA), academic performance, or unofficial transcript details (if
provided)
Country of Residence and Citizenship
Preferred Region or Country for Post-secondary Education
Resume or personal statement (if submitted for certain programs or scholarship
initiatives)
Any questions, preferences, or comments submitted during registration or follow-up
interactions
This information is collected for the purpose of facilitating effective academic recruitment and
communication between Guests and participating Partner Schools, and to help match students
with appropriate opportunities.
3.2 Purpose of Collection.
The above information is used to support meaningful outreach between Guests and Partner
Schools and to enhance the value of the Event for both parties.
3.3 Sharing with Partner Schools.
IMSF shares this information with its Partner Schools to allow them to follow up with Guests
directly for academic recruitment purposes. By registering, the Guest consents to being contacted
by these institutions via email, phone, or other means.
3.4 Third-Party Use Prohibited.
IMSF requires Partner Schools to use the information strictly for academic recruitment. Partner
Schools are prohibited from selling, distributing, or otherwise using the data for commercial or
non-educational purposes.
- CONSENT TO RECEIVE COMMUNICATIONS
4.1 Newsletter and Announcements.
By registering, the Guest agrees to be automatically subscribed to IMSF’s newsletter and receive
communications regarding upcoming events, educational resources, and opportunities. Guests
may unsubscribe at any time using the link in the email. - MEDIA RELEASE
5.1 Event Photography and Videography.
IMSF may take photographs, video recordings, or other media at Events that may include images
of Guests.
5.2 Consent to Use.
By attending the Event, the Guest consents to the use of their likeness in IMSF’s marketing,
promotional, and educational materials, including on social media, websites, brochures, and
other digital or print platforms, without compensation or additional consent.
NON-COMMERCIAL USE POLICY
The Event is designed exclusively for educational and academic recruitment purposes. Guests
are strictly prohibited from using the Event, its platforms, or their attendance to promote,
advertise, or solicit any commercial products or services. Any unauthorized commercial activity
may result in removal from the Event and prohibition from future participation.
PRIVACY RIGHTS AND WITHDRAWAL OF CONSENT
6.1 Compliance with Privacy Laws.
IMSF complies with applicable privacy laws, including but not limited to the Personal
Information Protection and Electronic Documents Act (PIPEDA), the General Data Protection
Regulation (GDPR), and relevant provincial, state, or international privacy legislation.
6.2 Withdrawal of Consent.
Guests may withdraw their consent to the use or sharing of their personal information by
contacting IMSF at [insert contact email]. Withdrawal will not affect any information shared
prior to notice and may limit the Guest’s participation in certain aspects of the Event.
ACKNOWLEDGEMENT
By registering for a IMSF Event, the Guest acknowledges and agrees to the following:
Their information will be shared with Partner Schools for recruitment;
They may be contacted directly by participating institutions;
They will be subscribed to IMSF’s newsletter;
They may be photographed or filmed during the Event and those images may be used
publicly;
They have read, understood, and consented to the terms of this Agreement.
LIMITATION OF LIABILITY
IMSF shall not be liable for any damages, losses, or claims arising out of or in connection with a
Guest’s participation in the Event, including but not limited to missed opportunities, lack of
response from Partner Schools, travel-related issues, technical difficulties, or dissatisfaction with
the event experience. Attendance is voluntary and at the Guest’s own risk.
NO GUARANTEE OF ADMISSION OR OFFERS
IMSF does not guarantee that any Guest will be accepted into, contacted by, or receive offers
from any Partner School. Admissions decisions and communications are solely at the discretion
of the Partner Schools.
GUEST CONDUCT
IMSF reserves the right to refuse admission to, or remove from the Event, any Guest whose
conduct is disruptive, disrespectful, abusive, or otherwise deemed inappropriate by IMSF staff,
without refund or liability.
FORCE MAJEURE
IMSF shall not be liable for any failure to host or complete an Event due to circumstances
beyond its reasonable control, including but not limited to natural disasters, public health
emergencies, strikes, travel restrictions, government mandates, or venue unavailability.
